To operate the challenge effectively and provide a fair competition, we collect the following types of information:

Personal & Account Information

  • Contact Details: Email address, first name, and last name.
  • Profile Information: A display name (e.g., "John D."), profile image/avatar, team assignment, user role (e.g., challenger, captain, free agent, admin), and availability if acting as a free agent.
  • Demographics: Birthday, age, and age group (under 51 / over 51) to fairly calculate point scales and event requirements per challenge rules.

Health & Fitness Data

  • Activity Logs: Types of exercises (e.g., running, swimming, biking, weight training), duration, distance, sets, reps, weight used, laps, and any personal notes.
  • Biometric Inputs: Body weight metrics as logged by the user when participating in weight-loss events.

Proof & Verification Materials

  • Media Files: Photos or videos of your workout, equipment screens (e.g., treadmill / Peloton dash), or physical accomplishments.
  • GPS / Location Data: Screenshots or synced data from external fitness apps confirming routes, distances, and pacing.

Device & Usage Information

  • App Usage Data: Timestamps of when activities are logged, login history, and user interaction states within the app.
  • Notification Preferences: Your settings regarding email reminders, push notifications, and deadline alerts.

How We Use Your Information

  • Operating the Challenge: Calculating points based on your logged activities, age group, and event rules to maintain accurate team and individual leaderboards.
  • Verification & Fair Play: Reviewing proof materials (photos, videos, GPS screenshots) to ensure activities comply with competition rules. This is conducted by challenge admins.
  • Team Coordination: Displaying your profile information (display name, profile image) to other participants on leaderboards.
  • Notifications: Sending important updates — registration deadlines, weekly reporting reminders, event results, team assignments, and payment reminders.
  • App Maintenance: Troubleshooting issues, resolving bugs, and improving overall platform stability.

How We Share Your Information

Information sharing is restricted to what is necessary for the challenge:

  • Other Participants: Your display name, profile picture, team association, and total points/rankings are visible on leaderboards. Specific activity values may also appear in your team's scoring breakdown.
  • Challenge Administrators: Admins have access to your full data, including proof materials and raw activity logs, to resolve disputes and maintain integrity.
  • Service Providers: Your data is hosted on secure third-party services (e.g., Supabase for database and auth, AWS/S3 for media storage) acting as data processors under industry-standard security.
  • Legal Requirements: We may disclose information if required by law or to protect the rights, property, or safety of our users or the public.

Data Security

We implement industry-standard security measures — including secure authentication and database access controls via Supabase Cloud — to protect your personal information from unauthorized access, alteration, disclosure, or destruction. Verification materials (photos and videos) are securely stored and restricted to authorized admin workflows.

Data Retention

We retain your personal information, activity logs, and verification proof for the duration of the current challenge season and for a reasonable period thereafter to maintain historical leaderboards, distribute final results, and facilitate easy registration for future challenges. You may request deletion of your account and associated data at any time by contacting an administrator.

Access & Updates

You can access, review, and update your profile information, avatar, and notification preferences at any time through the App's settings screen. If you believe your age group or other non-editable metrics are incorrect, contact an administrator to request an adjustment.
